How departure dates work

Understand how to add, edit, and manage departure dates for your tours.

Departure dates define when a tour starts.
Each booking is always associated with a specific departure date, not just the tour itself.

A single tour can have one or multiple departure dates.

Adding a departure date

  1. Open the tour you want to update.

  2. Go to the Departure dates (1) section.

  3. Click Add departure date (2).

  4. Complete the required fields and click Save departures.

When adding or editing a departure date, the following fields are available:

Date(s)

Select one or more start dates for the tour.

⚠️ Important
You should only select the start date(s) here.
The tour end date is calculated automatically based on the number set in the Duration field in the Tour → Details.

Travelers will see both the start and end dates in the booking flow.

Maximum group size

Set the maximum number of travelers allowed for this departure. The system will prevent new bookings once this limit is reached.

Booking deadline

Set the number of days before departure when bookings close for travelers.

⚠️ Important
Once the deadline is reached, travelers can no longer book this departure. Admins can still create bookings manually.

Status

Controls whether this departure date is available for booking.

  • Live — the departure is available for booking

  • Pre-registration — the departure is not bookable. Travelers can register their interest for this date. Their details are collected in the Leads module.

The departure status applies only to this date and does not affect the tour's overall status.

Use Pre-registration to collect interest before opening bookings. This is helpful for testing demand for a new tour or date before committing to full availability.

⚠️ Important
When you switch a departure from Pre-registration to Live, pre-registered travelers are not notified automatically. You need to contact them manually to let them know bookings are now open.

Editing a departure date

  1. Open the tour.

  2. Go to the Departure dates section.

  3. Select the departure date you want to update, then open the actions menu (⋯) and click Edit.

  4. Make your changes and save.

Changes apply only to the selected departure date.

Deleting a departure date

  1. Open the tour.

  2. Go to the Departure dates section.

  3. Select the departure date you want to remove, then open the actions menu (⋯) and click Delete.

  4. Confirm the deletion.

Deleted departure dates are no longer available for booking.

⚠️ Important

If a departure has any bookings, it cannot be deleted. First reassign those bookings to another departure date, then delete.
