E-documents allow you to collect digital signatures from travelers for important agreements, such as booking policies or liability waivers.
E-documents are managed at the tour level and apply to all departures of that tour.
Where e-documents are managed
E-documents are managed from the tour's Documents section.
To access it:
Open the tour you want to configure
In the left-hand menu, go to Booking → Documents (1)
Click Attach document to add a new e-document (2)
Document settings
Title and PDF file
Each e-document requires a title and a PDF file. The title is shown to travelers when they are asked to sign and is used to identify the document in the back office.
Who should sign
Choose who is required to sign the document:
Only the booker – The person making the booking must sign.
Every traveler – All travelers must sign. Signature requests are sent by email to each traveler.
When should it be signed
During checkout
The booker must sign before completing payment
The booking cannot be completed until required documents are signed
If every traveler must sign, other travelers receive an email after the booking
After checkout
Signature requests are sent by email after the booking is confirmed
Travelers can complete signing later via the email link
If documents are required both during and after checkout, non-bookers receive all signature requests together by email.
What travelers see
Documents required during checkout appear in the Payment step
Documents required after checkout appear on the confirmation page and in the traveler portal
Non-booker travelers can open and sign documents without creating an account.
Reminder email
If anyone has not signed a document within 72 hours of the booking being confirmed, they receive a one-time reminder email with a direct link to sign.
Each reminder is sent only once. No additional reminders are sent after that. If you need to follow up, use the Resend action in the back office (see below).
Editing or deleting e-documents
⚠️ Important
E-document changes only apply to future bookings. Bookings that already exist keep the document as it was at the time of booking.
If you edit a document (title, PDF, who signs, when to sign) — the change applies to new bookings only.
If you delete a document from the tour — it is removed for new bookings, but existing bookings retain their copy.
Document status in the back office
To view the signature status of each document for a booking, go to Back Office → Bookings → [Booking] → Documents.
Each row shows the document title, current status, the traveler who should sign, and the time it was signed.
From this view, admins can also:
Download the signed PDF — available once the document is signed.
Resend the document request to the traveler at any time, regardless of current status.
Statuses:
Pending | The document has not been opened or signed yet. |
Viewed | The document has been opened but not yet signed. |
Signed | The document has been signed. A download link is available. |
