How to set up payment plans

Control how travelers pay for a tour at checkout.

Payment plans control how and when travelers pay, not pricing (prices are set per departure).

By default, if no payment plan is configured, travelers are required to pay the full tour price immediately at checkout.

Payment plans are managed at the tour level and apply to all departures of that tour.

Add deposit / payment plan

  1. Open the tour you want to configure

  2. Go to Booking → Payment plan (1)

  3. Use the Add deposit / payment plan (2) toggle to enable installment payments

When enabled, the following options become available.

Deposit

Defines the amount paid at the time of booking.

  • Can be set to $0 (no upfront payment)

  • Collected immediately when the booking is confirmed

  • Counts toward the total tour price

Number of installments

Defines how many payments the total tour price is split into (excluding or including the deposit, depending on your setup). Maximum 10 installments.

Payment schedule type

Defines how installment due dates are calculated. Each installment shows the number of days before departure when the payment is due and the percentage of the total tour price.

Flexible

Earlier installments are spread automatically between the booking date and the last installment's due date.

  • You can set when the final installment is due (as a number of days before departure — defaults to 7 days)

  • You can manually adjust installment percentages, or let the system split them evenly

  • All earlier installment due dates are calculated automatically and shown as read-only

  • Useful when the spacing between payments should adjust based on when the traveler books

Fixed

You manually define when each installment is due.

  • All installment due dates (days before departure) are fully editable

  • You can manually adjust installment percentages, or let the system split them evenly

  • Useful when you want a consistent, predictable payment schedule regardless of when the traveler books

Auto-charge installments

⚠️ Important
By default, auto-charge is disabled.

When enabled:

  • Installments are charged automatically on their due dates

  • Travelers do not need to manually complete each payment

When disabled:

  • Travelers must manually complete upcoming payments

When Flexible payment plan is unavailable to travelers

At checkout, travelers can choose between Pay in full and Flexible payment plan. The Flexible payment plan is only offered while there is still enough time before departure to collect every installment.

Once the last installment's due date has passed, the plan is shown as Unavailable with the tooltip "Flexible payment plan is not available for last-minute bookings", and the traveler can only select Pay in full.

How the cutoff is calculated

The cutoff is taken from the tour's own payment plan — specifically, the last installment's "days before departure" value:

Cutoff date = Departure date − "days before departure" of the last installment

Example

  • Departure: June 30

  • Last installment configured at 30 days before departure → cutoff is May 31

  • Booking made on May 20 → Flexible payment plan is available

  • Booking made on June 5 → Flexible payment plan is unavailable (last-minute booking); only Pay in full is shown

To control when the Flexible payment plan stops being offered, adjust the days before departure of the last installment — set a smaller value to keep the plan available closer to departure, or a larger value to cut it off earlier.
