Tour lifecycle and statuses explained

An explanation of tour statuses and how they affect visibility and availability.

Tours have different statuses that show whether they are being prepared, available for booking, or no longer active.

Only tours in Live status are visible to travelers and available for booking.

Tour lifecycle (high level)

The lifecycle helps manage tour availability while keeping historical data intact.

Draft → Live → Archived

Tours can also be moved back to Live from Archived if needed.

Tour statuses

Draft

The tour is not published.

Not visible in the public booking flow or the customer portal.

Live

The tour is published and available for booking.

Visible in the public booking flow and in the customer portal for booked travelers.

Archived

The tour is no longer available for booking.

- Not visible to new travelers in the public booking flow.
- Still visible in the customer portal for travelers who have already booked.
- Accessible internally for reference and reporting.

⚠️ Important

Archiving a tour is a manual action and does not happen automatically.

Changing a tour's status

Publish a tour (Live status)

Before you can publish, all required sections must be completed. Once ready, click Publish on the tour page to make the tour visible and bookable for travelers. See What to complete before publishing.

Archive a tour

To archive a tour, change the tour status to Archived using the actions menu (⋯) on the tour page.

What happens to existing bookings when a tour is archived:

  • Existing confirmed bookings are not affected and remain active.

  • Travelers who already booked can still access their booking in the customer portal.

  • New bookings cannot be created — the tour must be Live to accept bookings.

Restore a tour (back to Live)

To restore an Archived tour and make it available for booking again, click Publish on the tour page. The tour will return to Live status.
