How to create a booking from the back office

Learn how to create bookings manually, add travelers, and set up a payment method

Creating a new booking

1. Go to Bookings (1) section

2. Click to New booking (2) button

Initial booking details

To start creating a booking, fill in the basic information:

Tour

Select the tour

Departure date

Choose the departure.

Booker

Select an existing customer or create a new one.

Name, email, phone

Booker's contact details. These fields are only shown when creating a new customer

You can also enable Send account invitation to traveler to invite the customer to set up their account.

Once completed, click Add to proceed to the full booking page.

The booking page opens in Draft status.

Order

To proceed with the booking, you need to create an order.

Click Add room to add at least one room to the booking.
Extras can be added optionally.

Once a room is added:

  • The total booking amount is calculated

  • The payment plan is automatically created

You cannot confirm the booking until at least one room is added.

Travelers

You can add more travelers if needed using the Add traveler button.

When adding a traveler, the admin only needs to fill in 3 required fields:

  • First name

  • Last name

  • Email

The remaining checkout form fields can be completed later by the booker in the customer portal.

Payments

You can add a payment method in the Payment method section.

Once the booking is confirmed:

  • The deposit or full amount (depending on your settings) is charged automatically when you click Confirm, if a payment method is available

  • If no payment method is saved, the booker can complete the payment via the customer portal
