How to manage a booking

Open a booking to view its summary, edit the order, manage travelers, track payments, and leave internal notes — all from a single page.

The Booking page is the single place to manage everything about a booking — the order, travelers, payments, documents, and internal notes.

Opening a booking

Go to Bookings in the left sidebar and click any row to open it. Use Back to bookings in the top-left to return to the list.

Each booking has its own reference (for example BOOK-317) shown at the top of the page next to the booker's name and current status (Confirmed, Pending, Canceled, etc.).

Main booking details

Summary

Tour, departure date, number of travelers, booking reference, owner (the team member responsible), payment status, and when the booking was created.

Booker

The person who made the booking. Shows email, phone, date of birth, and how many past bookings they have. Click the email icon to copy it.

Payment plan

A visual breakdown of paid vs outstanding amounts and the installment schedule.

Payment method

The card or other payment method saved against the booking. Used for installments and any additional charges (e.g. extras added later). You can update or remove the saved method from this card.

Each card can be collapsed using the arrow in its header

Details

The Details tab is the default view of a booking. It contains two sections: the Order and the Travelers.

Order

The Order shows every room, extra, and adjustment that makes up the booking total, along with the subtotal and total.

From here you can:

  • Add a new room, extra, or adjustment using the buttons above the table.

  • Edit or remove an existing line via the menu.

Any change updates the subtotal and payment plan immediately.

Travelers

The Travelers section lists everyone on the booking, the room they're assigned to, and the status of their forms, such as the Checkout Form and Flight Details (Post-Checkout Form).

From here you can add or remove travelers, edit their details, and open any form to complete or review it on their behalf.

Payments

The Payments tab lists every transaction recorded against the booking — card charges, deposits, manual payments, and refunds.

From here you can:

  • Filter the list by Transaction method or Transaction type.

  • Click Add to record a new transaction.

  • Use the menu on any row to take action on a specific transaction.

Documents

The Documents tab lists every e-document attached to the booking — contracts, waivers, policies, and other files that travelers need to sign.

Each row shows the document title, current Status (e.g. Pending, Signed), who it was sent to, and when it was signed.

Audit logs

The Audit logs tab shows a full history of changes made to the booking — who did what, when, and from where.

Notes

The Notes panel on the right is for internal team communication — notes are not visible to the customer.

Use it to record special requests, reminders, or context for whoever picks up the booking next. Collapse the panel with the » icon when you need more room on screen.
